WHAT WE CAN ACHIEVE TOGETHER

The Storytelling Team, part of the Marketing and Communications Division at TNC, is the global team responsible for the creation, production, and deployment of all content and campaigns via a multitude of channels at TNC, including nature.org, social media, and the magazine. The Team Coordinator supports the full breadth of the Storytelling Team’s work by providing administrative, operational, and programmatic support to the team, and supports the Associate Director of Storytelling Management with project management and process needs, including the building of Team Values and ensuring healthy working relationships across the team. They are responsible for managing the calendar/schedule, travel, and other support as requested by the Associate Director of Storytelling Management. They provide support to the successful operational management of the Storytelling team, with a primary focus on administrative support on contracts and invoices, scheduling, planning, and logistical support of Storytelling team meetings and retreats, and support of recruitment and onboarding activities. The coordinator maintains the Storytelling team’s intranet website, assists with updates to the Digital Team’s intranet site , prepares presentations, summaries, and/or reports, and may contribute to project management and other administrative, operations, and/or communications duties as requested. The coordinator has an eye for writing, grammar, and good storytelling, and will sit on the team at the center of TNC story creation.

As Team Coordinator, you will:
  • Manage contract administration for the team, receiving requests from across our 30+ colleagues and liaising with internal partners, ensuring timely and thorough adherence to contract requirements and approval process.
  • Process invoices, ensuring accuracy and compliance.
  • Actively manage calendaring/scheduling, travel, and provide other administrative support
  • Schedule, coordinate, and provide logistical support for meetings.
  • Lead planning and execution of team retreats and other team events, including travel and logistical arrangements.
  • Assist with recruitment, onboarding, and systems training for new team members.
  • Manage and update internal digital sites as-needed in coordination with colleagues
  • Provide additional support to team as assigned to include project management, preparation of documents and presentations, and other needs.
  • Participate on cross-functional teams as assigned.
  • Maintain confidentiality of sensitive information.
  • Opportunity to act independently on assigned tasks and projects.
  • Coordinate projects and sets and manages timelines to ensure completion.

WHAT YOU'LL BRING
Minimum Qualifications
  • Bachelor’s degree in related field and a minimum of 2 years’ related experience or equivalent combination of education and experience.
  • Experience organizing and coordinating projects.
  • Experience proofreading and editing business documents.
  • Experience in MS Office, Word, Excel, and PowerPoint.
Desired Qualifications
  • Experience in contract administration.
  • Multi-lingual skills appreciated.
  • Multi-cultural or cross-cultural experience preferred.
  • Client services skills, and ability to prioritize and streamline work to meet deadlines and keep pace with a large and high-performing team.
  • Very strong writing, presentation, and communication skills.
  • Interest in operational management and in supporting the operations and business processes of a large, globally dispersed team.
  • Familiarity with communication technologies and best practices.
  • Experience working with a remote supervisor.
  • Solid knowledge of MS Office, Word, Excel, and Power Point.
  • Basic application knowledge of project management principles.
  • Practical application of current marketing concepts and trends.
  • Ability to maintain accurate time and detail reporting for deliverables outlined in plans.
  • Experience working in a fast-paced environment.
  • Excellent organizational skills, attention to detail and follow-through.
  • Effective client service skills.
  • Experience with web content management systems.
